Electoral Commission: SharePoint Online

The Electoral Commission (TEC) is the UK’s independent body overseeing elections and political finance. With a diverse and dispersed workforce, TEC needed a modern digital workplace to improve collaboration, streamline processes, and future-proof its intranet services.  

Business Challenge 

TEC’s legacy SharePoint 2016 intranet had become fragmented, difficult to manage, and lacked intuitive user experience. Teams relied on manual, paper-based processes and siloed tools, creating inefficiencies at a time when workloads were growing and regulatory demands required tighter governance and reporting. TEC needed a user-friendly SharePoint Online intranet, integrated with Microsoft 365 apps, that would help staff work smarter, reduce duplication of effort, and open opportunities for automation.  

Solution:  

ElysianIT delivered a phased engagement built on proven templates, architecture, and adoption approaches: 

  • Content discovery and information architecture – reviewing the existing intranet and designing a scalable, extensible SharePoint Online model. 
  • User-friendly SharePoint Online intranet – developed and deployed with strong search, intuitive navigation, and integration with Dynamics 365, Teams, Power Platform, and OneDrive. 
  • Governance & adoption frameworks – tenancy governance, departmental engagement, training, and an adoption portal to support communication and onboarding. 
  • Process automation opportunities – identifying and piloting automation for key processes such as HR onboarding, JML lifecycle, Electoral Observers, FOI logging, and reporting workflows using Power Platform. 
  • Technology enablement – integrating Microsoft Teams, Viva Engage, and Microsoft Defender to enhance collaboration, security, and compliance.
